 I.   OBJECTIVE 

  • The administrative assistant intern will report directly to the Chief Executive Officer of the East West Consulting Group, a group a Veteran-owned entrepreneurial businesses. Primary duties will be to provide administrative support to Northwest Overwatch, a local security guard and patrol business headquartered in Tacoma, WA. Secondary duties will be to support the growth and development of several other small companies to include Destiny Technologies International, a non-profit tech business that supports Veterans, families and youth and local communities, East West Security & Consulting, Aloha Pacific Security, and growth of business in other regions.

II.   POSITION OVERVIEW

  • We are seeking a highly organized and detail-oriented Administrative Assistant for an internship within our team. The ideal candidate will provide administrative support to ensure efficient operation of the office and support management of key business functions. This role requires excellent communication skills, the ability to multitask, and impeccable attention to detail.

III.   PRIMARY DUTIES AND RESPONSIBILITIES

  • Perform general office duties such as answering phones, greeting visitors, distributing mail and packages and responding to emails.
  • Coordinate and schedule meetings, appointments, and/or travel arrangements for executives or staff members.
  • Prepare and maintain documents, reports, and correspondence.
  • Assist in the preparation of presentations and materials for meetings.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Organize and maintain paper and electronic files.
  • Assist in the onboarding process for new employees, including completing paperwork and coordinating orientation schedules.
  • Assist with special projects and events as needed, especially with human resources, recruiting and sales.
  • Handle sensitive and confidential information with discretion.
  • Provide support to other team members as needed.

IV.   PREFERRED QUALIFICATIONS

  • Experience and/or training as an administrative assistant, office assistant, or executive secretary.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize tasks and work independently.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality and pass a background check.
  • High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus.
